Title: Challenges with Adjusting Seat Count in ChatGPT Business Plans: A User Perspective

In October, I subscribed to the ChatGPT Business Plan, which is designed to cater to organizations requiring multiple users. The plan permits a minimum of two active seats, aligning with my company’s needs. Since then, my account has consistently had two active users. However, an unexpected issue arose: my account was billed for three seats from the outset, despite only utilizing two.

The core of the problem lies in the account management interface. Attempts to reduce the seat count from three to two have been consistently thwarted—the option to modify the number of seats is perpetually ‘greyed out’, preventing any changes. Every time I contact ChatGPT Support regarding this matter, I am told that “You can reduce the number of seats any time, but the change will only take effect at the start of your next billing cycle.” This suggests that manual adjustments are possible.

However, a review of OpenAI’s official Help Center content paints a different picture. The relevant guidance states:

“Can I reduce the number of seats on my plan?

When you create your ChatGPT Business plan, you’ll be given the option to specify how many seats you want to purchase. If you find that you no longer need as many seats, you don’t need to make any changes. Simply leave those seats unclaimed and we’ll adjust your invoice at the end of the billing period, taking into account any unused licenses.”

This wording implies that seat reductions should be handled automatically at billing cycle end, without manual intervention. Yet, in practice, I have observed no such automatic adjustment. The seat count remains fixed unless I seek to manually alter it, but the interface consistently disables this option.

Throughout a billing cycle, I have logged into my account on six separate occasions, and each time, the seat reduction option remains inaccessible. This inconsistency has caused frustration and confusion, especially given the apparent discrepancy between official guidance and actual functionality.

I am reaching out to the community to see if others have encountered similar issues. Has anyone experienced persistent problems with the seat reduction option being greyed out or otherwise unavailable despite efforts to manually adjust? Sharing experiences and potential solutions could be invaluable for users navigating similar challenges with ChatGPT’s business plans.

In the meantime, it appears that the path to reducing seats may be more complicated than initially advertised. Clearer communication from OpenAI regarding the process—whether automatic at billing cycle end or manual with limitations—would be greatly beneficial.
